Introducing Weston Park Cancer Charity

Weston Park Cancer Charity provides emotional and practical support for people living with and beyond cancer. They are based in Sheffield and have operated across South Yorkshire for many years.

Their complementary therapies and support are offered to both those diagnosed with cancer and the people close to them.

The funds that Weston Park Cancer Charity raises go towards running the support services as well as vital, pioneering research and clinical trials led by leading medical experts at Weston Park Cancer Centre.

Weston Park Cancer Charity promises to be there, together, at every step for cancer patients and their families. Their help is free and is always available for those impacted by cancer.

They employ over 30 employees.

Weston Park Cancer Charity’s challenge

Weston Park Cancer Charity has a pool car which is used for charitable events and day-to-day operations. The vehicle is used by 20 staff members. They previously used a paper-based system for tracking mileage, which meant that general maintenance requirements were being missed. The number of staff using the vehicle and the fact that it was often left offsite, made it difficult for a single person to monitor its condition. The failure to carry out regular checks was a cause of concern for Weston Park Cancer Charity, it could put staff at risk and the vehicle would have to be randomly taken off the road to fix problems brought on by a lack of regular maintenance. The paper-based method they used was also open to error, with drivers forgetting to complete documentation or paperwork getting lost or spoilt.

In summary, Weston Park Cancer Charity experienced the following challenges:

1) They used a paper-based system, for only logging mileage, this was open to error and records could be lost or spoilt
2) They had no system in place to ensure that regular vehicle maintenance checks were performed
3) The lack of regular maintenance checks increased risk for drivers and meant the vehicle was spending prolonged periods off the road, which was impacting charity activities
4) It was difficult for management to track the vehicle usage

Requirement

Weston Park Cancer Charity wanted to choose a fleet management system that would meet their specific business needs. They were looking for a supplier that they could trust and that would listen.

The system had to automate daily checks, enable them to track mileage and give management visibility of vehicle operations, provide instant access to vehicle records, improve driver communications, help reduce vehicle downtime and improve maintenance scheduling. The system also needed to be easily scalable, enabling them to add additional vehicles when required.
