Periodic Maintenance Inspections

The DVSA Guide to Maintaining Roadworthiness is the main publication that sets out the procedures operators need to undertake in the safety checks and upkeep of commercial vehicles including HGV, Bus & Coach.

A key part of the guide is periodic maintenance inspections (PMI’s) which have clear and concise checklists that outline all aspects of a regular, thorough inspection to be carried out by a workshop technician.

Traditionally these have been carried out using maintenance pads that record important data such as laden roller brake tests, torque records and tyre pressures. Now these paper pads are being replaced with app / software based products such as Asset Go Workshop Management, which records these details and submits a report which can then be actioned where applicable.

Most checks are categorised within 3 levels – Satisfactory, Repair Required & Safety Item whilst other checks such as tyre pressures are measured accordingly. The inspection itself covers similar checks to daily walk around checks with an additional specialised & technical checks.

Regular PMI Checks

PMI checks are carried out on a regular basis and are usually known as 6 weekly checks, although the frequency can be determined between the operator and DVSA.

Some other things to look out for when carrying out PMI checks and ensuring compliance include:

  • When operating a hired or borrowed vehicle, a first use inspection should be carried out.
  • It is also best practice to complete an inspection on a vehicle that has been off-road.
  • When a 3rd party is used to maintain your vehicles, you should always get a written contract detailing all aspects of the inspections & maintenance to be carried out.
  • The transport manager (or other nominated person) should always ensure that sufficient time is allocated to be able to keep up to date with inspections and daily checks, whilst making sure that any reported defects are rectified or in hand.
  • All inspections should be planned in advance with dates recorded to include servicing, tachograph calibration and annual test dates.

For operators, it is important that they continually review and monitor their compliance procedures and ensure they are up to date.
